What It's Like to Work With an Experiential Design Agency: Our Process at Rooted

If you've never produced a brand activation or large-scale experiential event before, the process can feel opaque. What does an agency actually do? How does a creative concept become a physical space? What do you need to bring, and what do we handle?

At Rooted Design Collective, we believe clarity is part of the service. Here's exactly how we work: from first conversation to final wrap.

WE COME TO EVERY ENGAGEMENT WITH QUESTIONS, NOT ANSWERS.

Every project begins with discovery. Before a single concept is sketched, we need to understand your brand at depth: your objectives, your audience, your competitive landscape, and the specific outcome this activation needs to achieve. The insights from that conversation inform every creative and strategic decision that follows.

From there, our creative team develops a concept that translates brand strategy into a spatial and sensory experience. We present it as mood boards, spatial narratives, and experience flows —not just pretty pictures, but a clear articulation of how the space will make your audience feel and what actions it will drive.

FROM CONCEPT TO BUILD

Once a concept is approved, we move into detailed design and production planning: floor plans, material specifications, custom fabrication, AV and lighting design, vendor sourcing. Our team manages every relationship and every delivery window, and is on-site through load-in, build, event operation, and load-out.

After the event, we deliver a wrap report covering attendance data, social metrics, press coverage, and our own assessment of what worked and what we'd evolve. That debrief becomes the foundation for your next activation.

We're a collective: a curated network of senior talent across strategy, design, production, and consulting. You get the firepower of a full-service agency with the attention of a boutique firm.
